The Inner Executive System is operated by Dr. Clare Allen, an individual practitioner and leadership advisor based in Australia. References to ‘we’, ‘us’, or ‘our’ in this policy refer to Dr. Clare Allen trading as The Inner Executive System.

2. What information we collect

We collect personal information you provide directly to us, including:

  • Contact and enquiry information — your name, email address, job title, and organisation name when you submit the contact form or request a discovery call
  • Programme information — your sector, programme interest, and your response to the open question on the contact form
  • Newsletter subscription — your email address when you join the Insights mailing list
  • Referral source — how you heard about The Inner Executive System
  • EBW Assessment data — if you enrol in a programme, you will complete the EBW Business EQ Assessment. This data is processed by EBW Global Ltd and shared with Dr. Clare Allen as an accredited EBW practitioner. It is used solely for programme delivery purposes.
  • Client portal data — if you become a programme participant, your programme progress, session notes, and resources are stored in your private client portal

We do not collect sensitive information (as defined under the Privacy Act) except for EBW Assessment data, which you consent to by enrolling in a programme.

3. How we use your information

We use the personal information we collect to:

  • Respond to your enquiry and determine whether the programme is the right fit
  • Send you the Insights newsletter and field notes, if you have subscribed
  • Deliver coaching and advisory services to programme participants
  • Send administrative emails relating to your programme or enquiry
  • Improve the content and functionality of theinnerexecutive.com
  • Comply with legal obligations

We do not use your information for automated decision-making. We do not sell, rent, or trade your personal information to any third party.

4. Email marketing

If you subscribe to the Insights newsletter or join the mailing list via the contact form, we will send you emails from time to time about leadership, Identity Anchoring®, and The Inner Executive System. Every email includes an unsubscribe link. You can opt out at any time.

Email marketing is managed via Mailchimp (Intuit Inc.). Your email address and name are stored on Mailchimp’s servers, which may be located outside Australia. Mailchimp’s privacy policy is available at mailchimp.com/legal/privacy.

6. Data storage and security

Your data is stored in Supabase, a secure cloud database platform. We implement reasonable technical and organisational measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction.

No method of transmission over the internet is 100% secure. While we take your privacy seriously and use commercially reasonable means to protect it, we cannot guarantee absolute security.

7. Data retention

We retain your personal information for as long as is necessary for the purposes set out in this policy, unless a longer retention period is required by law.

  • Enquiry submissions — retained for 3 years from date of enquiry
  • Newsletter subscriber data — retained until you unsubscribe
  • Client portal data — retained for 7 years from programme completion in accordance with Australian record-keeping obligations
  • EBW Assessment data — retained for the duration of the programme and 2 years following completion

8. Your rights under the Australian Privacy Act

Under the Australian Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate, incomplete, or out-of-date information
  • Request that we delete your personal information, subject to our legal obligations
  • Withdraw consent to receiving marketing communications at any time
  • Make a complaint if you believe we have mishandled your personal information
